GigSona (“we,” “us”) operates gigsona.com. This policy explains what information we collect and how we use it.

Accounts

Creating a customer or vendor account requires an email address and a password. Account authentication is handled by our provider, Supabase — we never see or store your raw password. An account lets you save vendors, track inquiries, and (for vendors) manage a business profile. You can browse the marketplace and send an inquiry without creating an account.

Information we collect

Depending on how you use GigSona, we collect: your name, email address, and phone number (if given); the content of inquiries, contact messages, and vendor applications; and, for vendor accounts, business details, portfolio photos and videos, packages, and pricing you choose to publish. We do not collect payment information anywhere on the site.

Wedding and event planning

If you use the planner, we store what you enter about your celebration: its name and type, the names you give for the couple, cities, venues, dates and times, guest counts, budgets, and any notes you add. This is the most personal information GigSona holds, so to be specific about who can see it — vendors cannot see your planner. When you send a request to a vendor from one of your events, what goes with it is that event's name, date, city and guest count, together with the message you write. Your budget, your notes, the venue, and the names you entered are not sent.

Authorised GigSona staff can see your planner, including any budgets you enter. We use that access to investigate fraud, scams, or misuse of the platform, and to operate and improve GigSona as described above. Your budget is never shown to vendors, never used to set the price you are quoted, and never published in a form that identifies you. You can change or clear it at any time.

Analytics

We measure aggregate site traffic — page views, referring sites, and approximate country — using Vercel Web Analytics. This is cookieless: it sets no tracking cookies, does not follow you across other websites, and does not build a profile of you. We use it only to see which pages people find useful and to keep the site fast. We also record what people search for on the marketplace (for example "dhol player in Brampton") so we know which vendors to invite next; those search records are not linked to your account or identity.

File uploads

Vendor portfolio photos and videos are publicly visible on the vendor's published profile. Photos are uploaded from your browser to our storage provider, Supabase Storage, in common image formats up to 8MB each. Videos are uploaded from your browser to our video streaming provider, Bunny Stream (BunnyWay d.o.o., Slovenia), which converts them for playback and delivers them from servers near the viewer; videos may be up to 60 seconds long, and GigSona does not keep the original file after conversion. When you upload a video you confirm you have the rights to it and to the appearance of the people in it. GigSona reviews videos before showing them anywhere other than your own profile, and may remove any upload.

How we use it

We use the information you submit to operate your account, to connect inquiries with the relevant vendor, to send transactional emails (such as inquiry notifications, password resets, and account confirmations), and to operate and improve GigSona. We do not sell your personal information to third parties.

You can turn notification emails off at any time using the link included in any of them. Emails about your account, payments, and active bookings are not affected — those are part of operating the service and always arrive.

Vendor inquiries

When you submit an inquiry, your event details and message are sent to the vendor, and the vendor replies to you through GigSona. Your contact details are not included: contact information is shared between you and a vendor automatically once a quote is approved, as described in the Terms.

Messages and quotes on GigSona

Messages, quotes, and booking details exchanged between customers and vendors are stored on GigSona, and authorised GigSona staff can access them. We do this for specific reasons, not routinely:

  • investigating fraud, scams, or suspected misuse of the platform
  • responding to a report from a customer or vendor, or a safety concern
  • resolving a dispute about a quote, booking, payment, refund, or chargeback
  • enforcing our Terms — for example, attempts to move a booking off-platform, or abusive messages
  • providing support when you ask us for help with a conversation
  • complying with a legal obligation, court order, or valid request from law enforcement

Messages blocked by our automated content filter are stored for review, as described in the Terms. We do not sell message content, use it for advertising, or share it with other vendors or customers. Both sides of a conversation are covered by this — a vendor can see the customer's messages and the customer can see the vendor's, and GigSona can see both.

If a payment is disputed or reversed (a chargeback or a bank inquiry), we may provide the records of that booking — the quote and its acceptance, the booking and payment history, the policies shown to you, and messages exchanged through GigSona about the booking — to our payment processor (Stripe), the card networks and the financial institutions deciding the dispute, to the extent needed to respond to it.

Service providers

We use third-party services to operate GigSona: Supabase (authentication, database, and file storage), Vercel (website hosting and the traffic measurement described above), Resend and Google Workspace (email delivery), Upstash (abuse prevention), and Stripe (payments and vendor payouts). These providers process data on our behalf and do not use it for their own purposes.

To protect the site from automated abuse, we check how often requests come from a given internet (IP) address. That check uses Upstash. It is not used to identify you or to build a profile of your activity.

Stripe is different in one important way, and it works in your favour: when a vendor sets up payouts, their identity documents and bank details are entered into a form served by Stripe and go directly to Stripe. GigSona never receives or stores them. We only receive confirmation that Stripe verified the vendor. The same is true of card numbers at checkout — customers enter them with Stripe, never with us.

Where your data is processed

GigSona is a Canadian business, but the service providers listed above operate data centres outside Canada, including in the United States. Your information may be stored or processed there, and while it is, it can be subject to the laws of that country — including lawful access requests by foreign authorities.

Data retention

We retain account, inquiry, and application data for as long as reasonably needed to operate the marketplace, or until you request deletion.

One specific limit is worth stating: once both you and the vendor have deleted a conversation, it stays recoverable for 30 days and is then permanently removed. Conversations connected to a confirmed booking are kept as a business record and are not removed on that schedule.

Access and correction

You can update your own account details and, for vendors, your profile information, directly from your account settings at any time. To request a copy of your data or a correction, email us at the address below.

You do not need an account to have these rights. If you sent an inquiry to a vendor, submitted a vendor application, or used the contact form without registering, you can ask for a copy of what we hold about you, or ask us to correct it, in exactly the same way. Email us at the address below and tell us which email address or phone number you used, so we can find your records.
