Booking decor, mandaps and rentals for a South Asian wedding
Decor is usually the largest single line in a South Asian wedding budget after catering, and the one where quotes are hardest to compare, because no two decorators describe the same thing the same way.
It also has more venue restrictions attached to it than any other category, and most couples find that out late.
What should you ask the venue before booking a decorator?
Four questions, in writing, from the venue: can anything be hung from the ceiling, is open flame permitted, what time can the decorator start loading in, and what time must everything be out.
Load-in windows are the one that ruins plans. A hall that only allows setup from 8am on the day of a 4pm ceremony rules out a lot of ambitious mandap builds, and the decorator needs to know before quoting, not after.
How is a mandap priced and built?
A mandap can be a rented frame with fabric, or a custom structure built for you. The price difference between those is large, and photographs of custom builds are what fill decorators' portfolios — so make sure the quote you are reading matches the picture you fell in love with.
Ask what happens if it rains, if any part of your ceremony is outdoors. The answer should already exist.
Do you need different decor for each event?
Mehndi, sangeet, ceremony and reception are usually four distinct setups, sometimes in the same room a few hours apart. If two events are in one venue on one day, ask specifically how long the flip takes and whether guests need to be out of the room for it.
Fresh flowers or artificial — which should you choose?
Marigold in volume is expensive and seasonal in Canada. A lot of decorators mix fresh and high-quality artificial, which is completely normal and usually invisible in photos — but you should know which you are getting.
If fresh matters to you for the ceremony specifically, say so, and accept that it will cost more than the same look in artificial.
What does wedding decor cost?
Decor is usually the second-largest block after venue and catering, and it has the widest gap between a stock rental and a custom build of anything at the wedding.
What moves it: how many events, whether structures are rented or built, fresh florals versus faux, and how much labour the venue's load-in window forces them to schedule. Ask for the quote broken out per event — a single total tells you nothing you can compare.

How much of the budget usually goes on decor?

Can decor be reused between events?
Often, and it is one of the better savings available — ceremony florals moved to the reception, or mehndi decor reworked for the sangeet. It needs planning: someone has to move it, the schedule needs a gap, and the venue has to allow access.
Who sets up and takes down the decor?
The decorator's crew, but confirm it is in the quote — install and strike are real labour costs and are sometimes billed separately. Ask what time they can get into the room, because the venue's access window often decides what is buildable at all.
